Challenge
However, offering training within a company is not without its challenges. Processing training requests, coordinating resources, and ensuring effective employee participation can be complex. Moreover, it is essential to continuously assess the impact of training to ensure that it genuinely improves the company’s performance and growth.
This was the case for Ancap, whose Training department lacked proper support for managing specific courses requested by the Management, which required external providers. Previously, each stage of management was manual, based on sending course planning emails, satisfaction surveys, and inputting data into SAP; tasks that demanded effort and were prone to human errors.
Objectives
• Achieve traceability in the management of specific courses.
• Centralize information about the management of specific courses in a single system.
• Facilitate the tracking of specific course requests by clients.
• Measurement of time for each management stage.
• Improve the standardization of information for courses entered into the SAP-HCM system.
Solution
A workflow was designed in Qflow to enable self-management of specific courses’ tracking and the demand for new courses. The tool automates each step of the process, starting with the special course request. The assignment of roles (requestors, references, and approvers) is dynamically selected based on the requester’s department, and course data is standardized to simplify the task. Once the course is completed, Qflow foresees sending two surveys: one about the course and another focused on the transfer or effectiveness of the training in the employee’s tasks. This way, the company maintains a record of the completed training and the experience of those employees who completed it.

In the case of Ancap, the time control functionality allows you to measure the time it takes to complete an individual task or a sequence of tasks within a larger process. This not only enables effective process monitoring but also ensures compliance with established Service Level Agreements (SLAs). Furthermore, Qflow allows integration with external services without the need for programming. In Ancap‘s case, integration with SAP’s human resources module automates data input.
Result
Currently, the system is implemented in all departments, and more than 100 courses are managed through this process each year, covering all company employees. Its use has led to a significant improvement in process management by the Training team, who can now access real-time information about ongoing courses through Qflow Task dashboards. Additionally, the experience of requesting and evaluating courses by employees has been improved, simplifying each step.
