NEW FEATURES
Qflow version 5.4 introduces substantial improvements aimed at enhancing task assignment and streamlining process design. With the inclusion of the ability for external users to respond to tasks and the optimization of automatic assignment rules, this version consolidates the platform as a versatile and adaptable tool, capable of fitting into various contexts.
Task response by external users
With the arrival of Qflow 5.4 cloud, the possibility opens for external users to actively participate in task responses, i.e., users not registered in the system. These recipients will have easy and convenient access to tasks via email. This new functionality serves as a highly versatile tool, especially useful in various scenarios. For example, in personnel selection processes, candidates can be requested to efficiently complete additional information. In Project Management, it is possible to invite external clients to evaluate services in a simple and integrated manner.
Tasks can be assigned simultaneously to system users and external users. The email address for external users can be obtained from process data, application parameters, or defined text.
After the task is responded by an external user, the audit will clearly identify that the task was answered by a guest, displaying the participant’s email as identification.
Confirmation message in interactive steps
In addition to the ability to customize the confirmation message when starting a process by external users, it is now possible to configure it in different interactive steps: both for the process start and for tasks, whether for anonymous users or system users. These messages are dynamically generated using specific process data and will be presented to the user once they have successfully completed the corresponding form. This feature provides an additional opportunity to personalize the user experience during process interaction.
New automatic assignment rule: fair distribution (Round Robin)
The new automatic assignment rule, known as “Fair Distribution (Round Robin),” introduces a method to assign each task linked to a role to different users within that role. This approach promotes a fair distribution of responsibilities, carried out sequentially and cyclically.
To illustrate its operation, consider the following scenario: imagine a role called “Support Team” consisting of three members: Fernando Acuña, Matías Correa, and María Rosado.
This role is designated as the recipient of the “Resolve Incident” task in the “Incident Management” process. When the “Resolve Incident” task is generated, it is assigned to one of the members, for example, Fernando Acuña. When another “Resolve Incident” task is created, and since Fernando Acuña has already been assigned previously, it will be assigned to another user in the same role, for example, Matías Correa. This pattern continues sequentially assigning tasks to each team member, ensuring a fair distribution of responsibilities.
Once all role members have been assigned, a new cycle begins, reassigning each member in the same order.
New template: board meeting voting
This new ready-to-use and fully adaptable template provides an agile and efficient approach to decision-making in collaborative board environments. Specifically designed to evaluate and vote on proposals remotely, it facilitates automatic approval in case of unanimous consensus. In situations that require it, it provides the option to request modifications to the proposal or to continue the discussion in an in-person meeting. Additionally, it ensures transparent communication by informing the requester about the final result of the proposal. Furthermore, gate conditions are enhanced by allowing the use of text-type application parameters in their conditions.
Thanks to user feedback and internal tool testing processes, we have identified and corrected errors at a general level in Qflow Cloud, as well as in Qflow Task, Design, Admin, and Team.
